What if I receive a reminder email about missing salary declarations?

If you receive a reminder email from Salary.lu about missing salary declarations, this means that payslips have not been generated for one or more months in your account or that a salary declaration is missing for a specific month. Taking prompt action ensures compliance with CCSS requirements and helps you avoid potential penalties.

Why you received this reminder

Reminder emails are sent when:

  • Monthly payslips have not been generated for your employees
  • Salary declarations are missing for previous months

This reminder only applies to companies with the SECUline option active. Companies without SECUline will not receive reminders from Salary.lu but must still maintain regular payroll practices to avoid reminders and penalties directly from the CCSS.

What you need to do

When you receive a reminder email about missing declarations:

  1. Log in to your Salary.lu account
  2. Navigate to the Payroll section
  3. Check which months are missing payslips
  4. Generate the missing payslips
  5. If you encounter any difficulties or need assistance, contact our support team

For companies with the SECUline option active, declarations are automatically submitted to the CCSS once payslips are generated. You do not need to take additional action for submission.

Preventing future reminders

To avoid receiving reminder emails and ensure compliance:

  • Generate payslips for all employees before end of month
  • Maintain regular monthly updates of payroll data
  • Keep employee records up to date
  • Review your payroll calendar regularly to stay on track
  • If an employee did not work during a period, set the contract end date to the last day of the month they last worked

An employee cannot have a 0€ gross salary for an entire month while remaining registered, except for sick leave paid by the CNS or other CNS-paid absences (such as maternity leave). Always set a contract end date when an employee stops working, even retroactively.

Maintaining good payroll practices is your responsibility as the account administrator. Salary declarations are automatically sent via SECUline on the 1st day of the following month. If the payslips have not yet been generated, nothing can be transmitted, and the system will therefore transmit the declarations the day after the payslips are generated.

What happens if you don't take action

Failing to generate and submit salary declarations on time can result in:

  • Additional reminder notifications from the CCSS
  • Potential penalty fees from the CCSS for late declarations
  • Compliance issues with social security authorities
  • Delays in employee social security coverage

Always prioritize timely payroll processing to maintain compliance and avoid unnecessary complications with the CCSS.
